PROBUS CLUB OF NANOOSE BAY
ANNUAL GENERAL MEETING
Held at St. Mary’s Church Hall
March 16, 2018
Welcome: President, Ron Windrim called the meeting to order at 9:15 am. Elinor Motta, Scrutineer, reported that a quorum was present.
2017 AGM Minutes: Secretary, Maureen Paterson moved to approve the Minutes of the March 17th, 2017 AGM as published on the website. Seconded by Jean Russell. Carried
Treasurer’s Report: On Treasurer Carolyn Dodd’s behalf, Anne Larson reported that John Patterson, Financial Reviewer, has examined the books, records and supporting documents for the Probus Club of Nanoose Bay for the twelve months ended December 31, 2017. Anne Larson read out a letter from John Patterson stating that he undertook the following procedures:
The ending cash balances in both the chequing and savings accounts were agreed to the bank statements received from the Coastal Community Credit Union.
All cheques issued and deposits made during the year to December 31st 2017 were checked to the bank statements, books of account and supporting documentation.
The books of account were tied into the financial statements being the Statement of Financial Position, Statement of Changes in Equity, Comparative Statement of Revenue and Expenses and the Statement of Revenue and Expenses for the year ended December 31st 2017.
John did not note any errors, mistakes or omissions during this review.
Anne Larson moved to approve statements of Revenue and Expenses and Balance Sheet as of December 31st 2017 and Budget for 2018 as posted on the website. Seconded by Tony Ransom. Carried.
Ron Windrim moved that Walter Clark be accepted as our Financial Reviewer for the 2018/19 year. Seconded by John Tosney. Carried.
The membership thanked John Patterson and Carolyn Dodd for all their volunteer work over the past years.
Nominating Committee Report: Anne Larson announced the appointment of Ron Windrim as Past President and Kathy Lowe as President for the 2018/19 year.
Elinor Motta presented the proposed slate of Management Committee nominees for 2018/19, noting who is returning and who is new:

Election of Management Committee: Elinor Motta called three times for any further nominations from the floor. No nominations were forthcoming; therefore all nominees were elected by acclamation.

Introductions & Acknowledgments:
Ron Windrim introduced the new Management Committee and thanked outgoing members as well as Elinor Motta for her assistance.
Outgoing President’s Report:
Ron Windrim thanked the membership for their support and noted that with a full membership (200) with a few on the waiting list, our club is very active. He praised the many volunteers and encouraged more to help out with the ongoing activities.
Kathy Lowe presented Ron Windrim with the Past-President’s pin.
Adjourn: Kathy Lowe called for the formal AGM to adjourn seconded by Ann Larson – meeting adjourned at 9:45 am.
The regular Probus monthly meeting for March 2018 will now continue.
