Minutes of the Annual General Meeting of the Probus Club of Nanoose Bay

Welcome:
Anne Larson, President, called the meeting to order at 9:15 am. Elinor Motta, Returning Officer, reported a quorum was present.
2016 AGM Minutes:
Judie Taylor moved to approve Minutes of the March 18, 2016 AGM as published on the Website. Seconded by Bev Watson. Carried.
Treasurer’s Report:
Carolyn Dodd reported that John Patterson, Financial Reviewer, has examined the books records, and supporting documents for the Probus Club of Nanoose Bay for the twelve months ended December 31, 2016. John undertook the following procedures:
- The ending cash balances in both the chequing and savings accounts were agreed to the bank statements received from the Coastal Community Credit Union.
- All cheques issued and deposits made during the year to December 31, 2016 were checked to the bank statements, books of account and supporting documentation.
- The books of account were tied into the financial statements being the Statement of Financial Position, Statement of Changes in Equity, Comparative Statement of Revenue and Expenses, and the Statement of Revenue and Expenses for the year ended December 31, 2016.
- John did not note any errors, mistakes or omissions during this review.
Carolyn moved to approve statements of Revenue & Expenses and Balance Sheet as of December 31, 2016 and Budget for 2017 as posted on the website. Seconded by Bill Evans.
Carried.
Carolyn also moved to appoint John Patterson as Financial Reviewer for 2017/18. Seconded by Bill Evans. Carried.
Nominating Committee Report:
Bob Bevis, Anne Larson, and Ron Windrim were the members of this year’s Nominating Committee. Anne Larson will become Past-President, and Ron Windrim will become President for the 2017/18 fiscal year. The following members have agreed to stand for five of the vacant positions. They are:
- Vice President Kathy Lowe
- Secretary Maureen Paterson
- Speakers Peter Milne
- Membership Lyn King
- Communications Ann Lawson
- Social Convenor (no Candidate)
Election of Management Committee:
Returning Officer Elinor Motta called three times for any nominations from the floor for each vacant position. No nominations were forthcoming.
Therefore, all five nominees were elected by acclamation. The position of Social Convenor remains vacant.

- President Ron Windrim
- Vice President Kathy Lowe
- Past President Anne Larson
- Secretary Maureen Paterson
- Treasurer Carolyn Dodd
- Membership Lyn King
- Speakers Peter Milne

- Communications Ann Lawson
- Social Convenor N/A
Introductions and Acknowledgements:
Anne Larson invited the 2017/2018 Management Committee Members to come to the front to be welcomed by the Membership. Anne thanked the new members of the Committee for taking on their positions, and also thanked the members who are continuing in their positions for another term. Anne also acknowledged the previous Committee Members and thanked them for their good work.
Outgoing President’s Report:
Anne thanked the Membership for the opportunity to be our President for 2016/2017. With 20 Special Interest Groups fully active, there is a wide variety of activities and interests to keep everyone busy. The volunteers who act as Leaders of their SIG deserve many thanks for their dedication. Our Membership is full at 180, with 20+ people on the waiting list. We are a very active Club!
Presentation of Past-President’s Pin:
Ron Windrim as new President, thanked Anne for her term as President, and presented Anne with her Past-President’s Pin.
Adjourn: Jim Watson moved to adjourn the formal AGM, seconded by Bev Watson.
This concludes the AGM portion of our Meeting, and we will now continue with the regular Probus monthly meeting agenda items.
