Minutes of the Annual General Meeting of the Probus Club of Nanoose Bay

Chair:
Bob Bevis, President, called meeting to order at 9:15 am. Tony Ransom, Returning Officer, reported that a quorum was present.
2015 AGM Minutes:
Judie Taylor moved to approve Minutes of the March 21, 2015 AGM as published on the Website. Seconded by Bev Watson. Carried.
Treasurer’s Report:
Carolyn Dodd reported that John Patterson, Financial Reviewer, has examined the books, records, and supporting documents for the Probus Club of Nanoose Bay for the twelve months ended December 31, 2015. John undertook the following procedures:
The ending cash balances in both the chequing and savings accounts were agreed to the bank statements received from the Coastal Community Credit Union.
All cheques issued and deposits made during the year to December 31, 2015 were checked to the bank statements, books of account, and supporting documentation.
The books of account were tied into the financial statements being the Balance Sheets, Statement of Change in Equity, Statement of Revenue and Expenses for the year ended December 31, 2015.
John did not note any errors, mistakes or omissions during this review.
Carolyn moved to approve statements of Revenue & Expenses and Balance Sheet as of December 31, 2015 and Budget for 2016 as posted on the website. Seconded by Patrick Murray. Carried.
Carolyn also moved to appoint John Patterson as Financial Reviewer for 2016-17. Seconded by Jay Spence. Carried.
Nominating Committee Report:
Tony Ransom, Bob Bevis, and Anne Larson were the members of this year’s Nominating Committee. Bob Bevis now will become Past-President, and Anne Larson will become President for the 2016/17 fiscal year. Tony reported 2 willing members were found to fill the 2 vacant positions on the Management Committee: They are :
- Vice President: Ron Windrim
- Communications: Robyn Arnold
Election of Management Committee: Returning Officer Tony Ransom called for any nominations from the floor. No nominations were forthcoming. Therefore, both nominees for the 2 vacancies were elected by acclamation.

- Vice President Ron Windrim
- Past President Bob Bevis
- Secretary Judie Taylor
- Membership Alida Sali
- Communications Robyn Arnold
- Social Ann Lawson
- Speakers Mike Durnin

Introductions and Acknowledgements:.
Bob Bevis introduced the Management Committee, welcoming Ron Windrim as our new Vice-President, and Robyn Arnold as our new Communications officer. Bob also thanked the members who are continuing in their positions for another term.
Honorary Membership:
Bob invited Ron and Eleanor Bell to come to the podium to receive a special thank-you and an Honorary Membership. Ron and Eleanor’s dedication to the Club activities, especially Les Wineaux , the annual Picnic, and MahJongg groups, has been constant over the years. Bob wished them well on their move to Victoria, and reminded them they were always welcome to visit.
Outgoing President’s Report:
Bob expressed his thanks to the membership and to the Management Committee for making this past year a memorable one. He pointed out that with 19 Special Interest Groups operational now, everyone has an opportunity to be actively involved in the Club activities.
Bob also wished Anne Larson well in her new role as President for 2016/17.
Presentation of Past-President’s Pin:
Anne Larson thanked Bob for his term as President, and presented him with his Past-President’s Pin.

Jim Watson moved to adjourn the formal AGM, seconded by Bev Watson.
This concludes the AGM portion of our Meeting, and we will now continue with the regular Probus monthly meeting agenda items.
